Price Lists, Partner Discounts, and Payment Terms
Give customers their agreed prices, a default discount, and payment terms that fill new documents automatically.
Users with the Sales permission manage price lists in Sales → Price lists. Partner terms are set on the partner form and need the Partners permission.
Create a price list
Enter a code and name, for example VP and Wholesale. Leave the currency on
the company currency unless the list is priced in another currency.
Optionally enter an Adjustment for other items (%), such as -10. Items
that have no price on the list then use their sale price reduced or
increased by that percentage.
Add item prices one by one, or choose Add all items to start from every active item's sale price with the adjustment applied, then edit the prices you negotiated.
List prices are net prices without VAT. To load many prices at once, use the Price list prices type in Settings → Import.
Set partner terms
On Partners → Edit, set any of these fields:
| Field | Effect on new documents |
|---|---|
| Price list | Quotes, sales orders, and invoices offer the list price when you choose an item |
| Default discount (%) | New lines start with this percentage discount |
| Payment terms (days) | The due date on invoices and sales orders is the document date plus these days |
Partners without their own payment terms use Default payment terms (days) from Settings → Defaults. Supplier documents use the supplier's terms to fill the due date only when it is still empty, because a supplier bill usually states its own due date.
How prices are applied
- When you select a customer, the lines area shows the price list and discount that apply. Choose Apply to existing lines to re-price lines you entered before selecting the customer. Lines copied from a sales order or delivery note keep the price agreed on that document.
- A price list applies only to documents in its currency. For another currency, the notice says so and items keep their sale prices.
- You can still change any price or discount on a line. Changing a price list affects new documents only; existing quotes, orders, and invoices keep their prices.
- Picking a due date yourself stops it from following the partner's payment terms on that document.
- An inactive price list stays assigned to its partners but no longer changes prices. Deleting a price list removes it from its partners, which then use item sale prices.
